FloorFlow values your privacy. In this privacy policy we explain briefly and clearly which personal data we collect through this website, why we do so, and what rights you have. We do this in accordance with the General Data Protection Regulation (GDPR).
FloorFlow ("we", "us") is the controller responsible for processing your personal data.
We only actively collect personal data if you fill in and submit the Warehouse Scan form yourself. In addition, our hosting provider automatically records some technical data in server logs on every visit — such as your IP address, browser type and the time of your visit — in order to display the website, keep it secure and resolve faults. We do not use these logs to track you as an individual or build a profile of you, and we set no cookies (see section 7).
When you complete the Warehouse Scan, we process:

Your answers about your warehouse
Your picking method, warehouse size, number of concurrent pickers, daily order lines, number of SKUs, percentage of fast movers, slotting method, and whether you track productivity. Based on this we calculate your optimization score (a percentage) and a potential level (Low, Medium or High). This score is informational; we do not use it to make any automated decisions that produce legal effects for you.
Consent records
Whether you accepted the terms and privacy policy, whether you gave consent for marketing emails, and the time at which you did so. This allows us to demonstrate which consent you gave.
Apart from the server logs (see section 2), we collect no special-category (sensitive) personal data, no payment data, and you do not need to create an account.

You can withdraw your marketing consent at any time (see section 9). This does not affect any processing that took place before then.
We never sell your data. We handle your submission ourselves and keep it within our own systems:
We do not use a third-party form service or an external email-marketing platform: we send any marketing emails ourselves, from our own mailbox. Your acceptance of the privacy policy and your marketing choice (opt-in, or no opt-in) are recorded in that submission email, together with the exact text you agreed to and the timestamp — this email is our proof of the consent you gave.
Separately, some other pages of our website (not the Warehouse Scan) load animation and graphics components from external script networks. In doing so, your IP address is transmitted to those networks as a technical necessity in order to display the page (see sections 6 and 7).
Your Warehouse Scan submission is processed and stored entirely within the Netherlands, at our hosting provider Cloud86; it is not transferred outside the European Economic Area. The only data that may leave the EEA is your IP address, which is transmitted to the external script networks that deliver animation and graphics components on some other pages of our website (not the Warehouse Scan), as a technical necessity to display those pages. We keep the use of such external components to a minimum.
Our website sets no cookies and uses no analytics, advertising or tracking tools (no Google Analytics, no Facebook pixel, and so on). Our fonts are hosted on our own server, and the Warehouse Scan submits directly to our own server — no third-party form service is involved. Because we set no cookies, we do not show a cookie banner.

You can opt in to or opt out of our marketing emails at any time by emailing info@floorflow.nl; every marketing email we send also explains how to opt out. Would you like to exercise one of your other rights? Email info@floorflow.nl. We respond within the statutory period (in principle within one month).
If you disagree with how we handle your data, you can lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
We take appropriate measures to protect your data and only work with service providers that do the same. Please do not send sensitive information through this form — it is not intended for that.
We may update this privacy policy, for example if we start using a new service. The most current version is always on this page, with the date of the latest change shown at the top.
If any part of this privacy policy is or becomes void, voidable or unenforceable (in whole or in part), or is set aside by a court, that part will continue to apply to the maximum extent permitted by law, and the remaining parts remain fully in force.
